Terms of Agreement of for Student Organizations

General Description: Coins for a Cause is a collaborative effort between Dining Services, Student Activities Community Outreach (CO), Student Activities Banking Services (SABS), and various UConn registered student organizations to raise funds for non-profit organizations. Funds are collected each month through donation boxes located at the UConn Dairy Bar.

Registered student organization (RSO) must abide to the following responsibilities, qualifications, and terms that are listed below:

Responsibilities:

  • Commits to having representation from the organization in at least two money counts taking place monthly during October thru April & in September.
    • On designated coin count date:
      • Provide 2 people to help sort and count the coins on the designated day.
      • Deposit collected money into their Student Activities Banking Services account immediately after the count has concluded.
    • Note 1: All counted money is divided equally into “sub-accounts” for each of the six student organizations.
    • Note 2: CO and SABS Staff will do money counting for the summer break months (May-August).
  • Agrees to NOT spending the funds that are collected through Coins for a Cause on any other expense occur by the RSO.
    • Money can be held by the RSO until the next disbursement to the charity.
  • Agrees to the disbursement schedule for the year so that funds can be given to charities through the span of two fiscal years.
    • Disbursement 1: by April 30th
    • Disbursement 2: by October 15th (to account for the September funds, to close out the program)
  • Maintains consistent, prompt communication with Department of Student Activities Staff (CO & SABS).
  • Communicates to Department of Student Activities Staff (CO & SABS) promptly regarding any changing in leadership within the student organization.

A check for the deposited amount must be ready to be sent within 10 business days (note: some exceptions can be made based on the set up of the Student Organization) from the count date. The Student Organization will bring the check to Community Outreach SU 302. The check will be sent with a signed letter by Community Outreach and the Student Organization representative.

Qualifications:

  • Be a registered student organization with the Leadership and Organizational Development Office within Student Activities.
  • Have an open & non-restricted account with the office of Student Activities Banking Services
  • Have established contact with a selected, registered, non-profit organization that you would like to be considered to receive philanthropic funds.  This organization must not discriminate against any race, religion, nationality, gender, or sexual orientation.

Terms:

Student Organizations who do not meet requirements to participate in the Coins for a Cause program are subject to forfeiting their sub-account funds.  In addition, if any one of these instances occur:

  • The Registered Student Organization becomes “Inactive”
  • SABS account is closed
  • There is a lack of communication with Community Outreach staff
  • Organization representation does not adhere to or comply with attendance format during the coin collecting and counting phase that the organization has been assigned to. 

Terms of Agreement: By applying to fundraise for a charity, you agree to abide to the responsibilities, qualifications, terms made by the Community Outreach Staff member as stated in this agreement.

Coins for a Cause Student Organization Application 2024-2025

Thank you for your interest in the Coins for a Cause Campaign. This Campaign is part of a joint partnership between Dining Services, the Office of Community Outreach (CO), and Student Activities Banking Services (SABS). Registered Student Organizations (RSO) must apply to this program with the application below and agree to the terms and agreements set forth. The committee will only choose six organizations to participate in the Campaign per year. This program is only open to Registered Student Organizations who are in good standing with the University and who choose charities that are registered non-profit organizations.     Student organizations cannot participate in this program unless they have a Business Services account.

    Community Outreach staff will be in contact after receiving this completed profile. Each organization must pick at least 4 options throughout the program year to "host" the money counting. While the proceeds are split among the different organization, each money counting date conducted by assigned RSOs.
